WeekIt ("we", "our", or "us") is a weekly planning tool built for busy professionals. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application, mobile application, and related services (collectively, "WeekIt").

The short version: We collect only what we need to run WeekIt, we never sell your data, and your plans stay yours.

1. What we collect

Account Information: Your name, email address, and authentication credentials.

  • User Content: Content you create inside WeekIt, including weekly plans, tasks, notes, time blocks, and delegation preferences.

  • Connected Integration Data: If you grant permission, we access information from third-party services you connect (e.g., Google Workspace, Slack). Specifically for Google services, we access:

    • Gmail Data: Subject lines and message bodies of inbound emails (via gmail.readonly) to extract actionable tasks, and outbound emails sent on your behalf (via gmail.send) when you trigger a task delegation or update request.

    • Google Calendar Data: Event details, start/end times, and availability (via calendar.events) to schedule time blocks and monitor completed meetings for task follow-ups.

  • Billing Details: Payment processing is handled by our third-party payment processor. We never see or store your full payment card details.

2. How We Use Your Data

We use your data strictly to operate, maintain, and provide the core features of WeekIt:

  • Syncing your plans and tasks across your devices.

  • Processing inbound communications (such as emails or Slack messages) to generate to-do items and time blocks on your schedule.

  • Dispatching user-initiated task delegation and update emails.

  • Sending system notifications and reminders configured by you.

We do not sell your personal data, nor do we use your emails, plans, calendar events, or notes for advertising or marketing purposes.

3. Google Workspace User Data & AI Limited Use Disclosure

WeekIt’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • No AI Model Training: Google Workspace user data (including raw email text, calendar entries, metadata, or derived task data) is never used, transferred, disclosed, or sold to train, fine-tune, or improve foundational, generalized, or third-party machine learning (ML) or artificial intelligence (AI) models.

  • Transient Processing: Email and workspace data processed by automated systems or natural language processing tools is accessed transiently solely to convert message context into actionable tasks within your account, after which no raw Google Workspace payloads are retained for model building.

  • Human Inspection Restrictions: No human at WeekIt reads your email content or calendar data unless:

    1. You provide explicit permission to troubleshoot a specific issue;

    2. It is necessary for security purposes (such as investigating abuse or security breaches); or

    3. It is required to comply with applicable law.

4. Third-Party Services & AI Infrastructure

We rely on a select group of trusted service providers for cloud hosting, database management, analytics, and infrastructure.

When AI processing is utilized to parse text into tasks, data is transmitted strictly via commercial enterprise API endpoints governed by Zero Data Retention (ZDR) and business privacy terms. These providers are contractually bound to process data solely on our behalf and are strictly prohibited from using your data to train their models.

5. Storage, Security & Data Retention

Security: Your data is encrypted in transit (via HTTPS/TLS) and at rest (using industry-standard encryption algorithms). Production systems are hosted on secure cloud infrastructure with strict access controls and regular auditing.

  • Data Minimization & Retention: We retain your personal data only for as long as your account remains active.

  • Account Deletion: If you delete your account, all associated user content, synced integration tokens, and workspace data are permanently purged from our primary databases within 30 days and from secure system backups within 90 days.

6. Your Rights & Choices

Depending on your location, you may have the right to access, correct, export, or delete your personal data, or to restrict certain data processing activities.

You may also revoke WeekIt's access to your Google account or other connected integrations at any time directly through your WeekIt settings page or via your Google Security Settings page.
